Privacy Policy

WHO WE ARE
Electric Bike Factory is a trading name of Well Necessities Ltd, based in Stoke-on-Trent, Staffordshire.

WHAT DATA WE COLLECT
  • Personal information - We collects your name, address, email address and telephone number, to allow us to process, deliver and deal with any issues you have with your order.

  • Payment Information - We use the third-party payment providers, Worldpay or PayPal, to process the payment for on-line orders and consequently we do not store any credit/debit card information relating to your order on our own systems. We access these third-party payment provider systems for the purposes of taking telephone payments and to process refunds for any orders should they be required.

WHAT WE DO WITH YOUR DATA
We store your personal information and order details in an encrypted database, and use it only for the following purposes:

  • Order processing - this often involves sharing your personal information with our trusted suppliers and delivery companies, so that we can fulfil your order as quickly as possible.

  • Finance Applications - if you apply for 0% finance to fund your purchase, we provide your email address, name and if provided, your telephone number, to our trusted finance partner, Deko, along with details of your order and amount. Deko then contact you and you provide more information to them, to apply for finance. Your finance application is with Deko, not Well Necessities Ltd. In order to process your order, we are able to see your address through the Deko system and whether your application has been approved. This information is then stored in our own database as if you had placed the order on-line.

  • Warranty- We need to hold on to your personal information beyond the purchase date to allow us to easily fulfil our obligations under the warranty of the purchased product.

In addition, HMRC rules require us to keep records for at least 5 years. To make sure we comply, we keep sales and purchase invoices for 6 years before deleting or destroying them. If we have not had any contact with you for 6 years, all your personal data will be deleted.

COOKIES
Our website use cookies to collect information, such as browsing behaviour by those who access our website, including pages viewed, products purchased and the customer journey around our website. We sometimes participate in search provider re-marketing campaigns e.g Google Adwords, and information collected through cookies is sometimes used for browser-based targeted advertising e.g. web banners.

WHAT WE DON'T DO WITH YOUR DATA
We do not use your stored personal data for our own direct marketing i.e. we will only contact you when contacted by you, or in relation to your order and delivery, nor do we sell or share any of your stored personal information with third-parties for their marketing purposes.

THE CONSEQUENCES OF NOT PROVIDING YOUR PERSONAL DATA
Without your personal information, we cannot process or deliver your order and you will not be able to place an order on-line or over the telephone. We have a small showroom, but this does not hold stock for purchase, so personal information would also be required in order to process and deliver an order made face to face.

YOUR RIGHTS OF ACCESS TO YOUR DATA
At any point you can ask to see the personal information we store for you and ask us to correct any of the information we hold. You can also ask us to delete the information we hold for you, however, should you choose to do that, please bear in mind that we may not be able to fulfil our warranty commitments unless you can present proof of purchase when required.
